Who we are

researchmanagr is operated by W Labs Code, based in Canada.

What data we collect

We collect the data you enter to manage your research projects:

• Profile information (name, email address).
• Projects, milestones, contacts, and custom briefing content.
• Uploaded documents (PDFs, DOCX files) and the extracted text and metadata from those documents.
• AI processing results including project focus, briefing summaries, and milestone plans.
• Batch job logs and activity records.
• Billing information processed by Stripe (no credit card numbers are stored on our servers).

We also store app preferences (theme, device state) locally in your browser and cache focus/digest data to improve load times.

Legal basis for processing

Processing is necessary to perform our contract with you (providing the research management service). Where AI features are concerned, processing is based on your consent—you can avoid AI features if you do not wish to use them.

How we use your data

• To store, sync, and display your research projects and milestones across your devices.
• To process uploaded grant documents and generate AI-powered briefings and focus summaries.
• To send transactional emails related to your account (sign-up confirmation, billing receipts).
• To improve the app through error monitoring and cookieless analytics.

Subprocessors and third parties

We rely on the following service providers:

• Supabase — authentication, PostgreSQL database, and object storage.
• Vercel — hosting, serverless compute, and privacy-respecting aggregate analytics (cookieless).
• Stripe — payment processing for Pro subscriptions.
• Sentry — error monitoring and performance tracing.
• AI providers (OpenAI, Google, or others configured via your environment) — document text and metadata may be sent for AI processing.

AI addendum

When you run AI-powered features (briefings, focus, ranking), the content of your documents may be sent to the configured AI provider. We sanitize sensitive metadata before sending it, but the document text itself is processed externally. You can choose not to use AI features if you do not want documents processed on third-party servers.

Data retention

Your research data and account information are retained until you delete your account via Settings. Supabase maintains cloud backups that may persist for a limited period outside your control. Extracted text files from document uploads are stored alongside the original files and are deleted when the corresponding batch job or account is removed.

If a 30-day free trial expires without converting to paid access, the account and all associated research data are deleted. To prevent repeated trials, the email address is retained for 2 years after the trial ends and then removed.

Your rights

Depending on your jurisdiction, you may have the right to access, correct, export, restrict processing of, or delete your personal data. Use the Settings page in the app to:

• Download a full export of your account data.
• Permanently delete your account and all associated data.

If you have a request we cannot address through the app, contact us at the email associated with your account.

Children's privacy

researchmanagr is not directed to children under 16 (or the applicable age in your jurisdiction). We do not knowingly collect data from children. If we learn we have done so, we will delete it promptly.

Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be posted on this page with a revised "Last updated" date. We encourage you to review this page periodically.
